How to create an invoice in five steps

1. Identify both parties. Your business name, address and contact details at the top; the client’s legal name and billing address below. If either side is VAT- or sales-tax-registered, add the registration number.
2. Number and date it. Give the invoice a unique sequential number (INV-2026-014, for example) and an issue date. Numbers must never repeat or skip — accountants and tax authorities check the sequence.
3. List what you are charging for. One line per product or service with a description, quantity, unit price and line total. Vague lines like “work done” get queried; “12 h website development @ $80” gets paid.
4. Add tax and the total. Show the subtotal, the tax rate and tax amount on their own lines, any shipping or discount, then the grand total in the currency you expect to be paid in.
5. State the payment terms. The due date (“Net 30” means 30 days after the issue date), the accepted payment methods and your bank or payment details. A short thank-you note does no harm.

Invoice, quote or receipt?

A quote (or estimate) is sent before the work and commits to a price; it is not a request for payment. An invoice is sent after delivery and asks for payment by a date. A receipt confirms that payment was received. Many freelancers reuse the same document layout for all three and only change the title — this tool produces the invoice, and you can mark it “PAID” in the notes to turn it into a receipt.

Tips that get invoices paid faster

• Send the invoice the day the work is delivered, not at month end.
• Keep terms short: Net 14 is paid sooner than Net 30, and “on receipt” sooner still.
• Put the total and the due date where they are seen first — the top right of the page.
• Attach the PDF rather than a link; finance teams file attachments.
• For recurring clients, keep the same numbering prefix so their accounts department recognises you.
